Email Templates

Overview

The Email Templates tab allows administrators to create and manage reusable email templates used within Business Process Automation (BPA) workflows.

Email templates provide:

  • Standardized communication across automated processes
  • Consistent messaging and branding
  • Reduced manual effort for repetitive emails
  • Seamless integration with process data and variables

IntelliBuddies supports two types of Email Templates:

  • Global Templates – Available across all processes
  • Process-specific Templates – Available only within a specific process

This page manages Global Email Templates.

The Email Templates tab is available to users with the appropriate email template management permissions.


How to Access

From the AI Command Center, navigate to: Assets → Email Templates.


Email Templates View

The Email Templates tab displays all configured global templates in a structured table layout.

ColumnDescription
Template NameName of the email template.
Created ByUser who created the template.
Modified AtDate and time of the last update.
ActionsAvailable operations such as View, Edit, Clone, Delete, or Audit (based on permissions).

Creating a New Email Template

To create a new global email template:

  1. Open the Email Templates tab.
  2. Click New Template.
  3. Complete the guided configuration steps.
  4. Click Add to save.


New Email Template Configuration

The New Email Template dialog is structured into multiple steps:

Step 1 – Basic Information

  • Provide a Template Name
  • (Optional) Add a Description

Step 2 – Recipients & Priority

  • Configure To, CC, and BCC recipients
  • Set the Email Priority

Recipients can be assigned by dragging and dropping variables from the Process Data Model panel.

Step 3 – Subject & Body

  • Define the Email Subject
  • Compose the Email Body
  • Insert variables dynamically from the Process Data Model

You can drag and drop variables directly into the subject or body to personalize email content dynamically.


Editing an Email Template

To modify an existing template:

  • Select the template.
  • Choose Edit.
  • Update the required fields.
  • Click Update to save changes.


Cloning an Email Template

To create a copy of an existing template:

  • Select the template.
  • Choose Clone.
  • Provide a new name.
  • Modify the content if required.
  • Click Add.


Email Template Actions

From the Email Templates tab, the following actions are available (based on permissions):

DeleteRemove the selected template.
AuditView change history for the selected template.

Email Templates help ensure consistent, automated, and professional communication across Business Process Automation workflows.
